Elo Healing LLC (“Elo Healing,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect through our website at elohealing.com (the “Site”), how we use and protect it, and the choices you have.
This policy applies to information collected through the Site only. It does not apply to the protected health information we maintain about clients in the course of providing care. That information is governed by our separate Notice of Privacy Practices and by the privacy and security practices of our practice-management and electronic health record system (SimplePractice). If you are a client or prospective client, please review our Notice of Privacy Practices for how we handle your health information.
By using the Site, you agree to the practices described in this policy. If you do not agree, please do not use the Site.
1. A note about sensitive information
Elo Healing is a mental health practice. We are mindful that simply visiting a therapy website can feel personal. We have intentionally designed this Site to collect as little information as possible.
Please do not share clinical, medical, or sensitive health details through our website contact form or through Calendly. These tools are not secure channels for protected health information. When you become a client, we will give you access to secure, HIPAA-compliant tools for any sensitive communication. Until then, please keep website messages limited to general contact details and a brief, non-clinical note about how to reach you.
2. Information we collect
a. Information you provide to us
When you use our contact form, you may provide:
- Your name
- Your email address
- Your phone number (optional)
- Your preferred method and time of contact
- A short, free-text message
We ask that this message not include health information. We use what you provide solely to respond to your inquiry.
When you schedule a first conversation, you do so through Calendly, a third-party scheduling service. Any information you enter into Calendly (such as your name, email, and chosen time) is collected and processed by Calendly under its own privacy policy, and is shared with us so that we can meet with you.
b. Information collected automatically
Like most websites, our Site automatically collects limited technical information when you visit, such as your browser type, device type, general location (derived from IP address, not precise GPS), pages viewed, and the time and date of your visit.
We use Google Analytics 4 (GA4) to understand, in aggregate, how visitors use the Site so we can improve it. Google Analytics is loaded only after you consent through our cookie banner. If you decline, these analytics cookies are not set and GA4 does not run. See our Cookie & Analytics Notice for details, and Section 6 below for your choices.
We do not use the Site to sell your personal information, and we do not run advertising or behavioral ad-targeting on the Site.
c. Information we do not collect through the Site
We do not collect payment information, Social Security numbers, insurance details, diagnoses, or clinical history through the Site. We do not maintain a database of website visitors. Contact form submissions are delivered to our secure practice email and are not stored in a website database.
3. How we use information
We use the information described above to:
- Respond to your inquiries and schedule conversations
- Provide, maintain, and improve the Site
- Understand general usage patterns (via consented analytics)
- Protect the security and integrity of the Site
- Comply with legal obligations
We do not use your information for any purpose incompatible with those listed here without telling you first.
4. How we share information
We do not sell, rent, or trade your personal information. We share information only in these limited circumstances:
- Service providers. We use trusted third parties to operate the Site and our practice, including our website host (Vercel), scheduling tool (Calendly), email delivery and email hosting (Google Workspace and our email-delivery provider), and analytics (Google Analytics). These providers may process information on our behalf and are expected to protect it.
- Legal requirements. We may disclose information if required by law, subpoena, court order, or to protect the safety, rights, or property of any person.
- With your direction. We may share information when you ask us to.
We do not control, and are not responsible for, the privacy practices of third-party services. We encourage you to review their policies: Google (Analytics and Workspace), Calendly, and Vercel each maintain their own privacy policies.
5. Data retention and security
We keep website inquiry information only as long as needed to respond to you and for our reasonable business records, after which we delete it. We maintain reasonable administrative, technical, and physical safeguards designed to protect the limited information the Site collects.
No method of transmission over the internet is completely secure, and we cannot guarantee absolute security. This is another reason we ask you not to send sensitive health information through the Site.
6. Your choices and rights
- Cookies and analytics. You can accept or decline non-essential cookies through our cookie banner. You can also change or withdraw consent at any time using the cookie settings link in the Site footer, and you can control cookies through your browser settings. Declining does not affect your ability to use the Site or contact us.
- Contact preferences. You can ask us to stop contacting you at any time by replying to any message or emailing us at the address below.
- Access and deletion. You may ask us what website inquiry information we hold about you and request that we delete it. To make a request, contact us using the details in Section 11. (Requests concerning health information held as a client are handled under our Notice of Privacy Practices, not this policy.)
Depending on where you live, you may have additional rights under applicable privacy laws. We will honor those rights as required by law.
7. Do Not Track
Some browsers offer a “Do Not Track” signal. Because there is no common industry standard for responding to these signals, our Site does not currently respond to them. We instead give you a direct choice over analytics through our cookie banner.
8. Children’s privacy
The Site is intended for adults. We do not knowingly collect personal information from children under 13 through the Site. (This is separate from our clinical work, in which we may treat minors with the involvement and consent of a parent or legal guardian, governed by our clinical privacy practices.) If you believe a child has provided information through the Site, please contact us and we will delete it.
9. Links to other sites
The Site may link to third-party websites or tools (such as Calendly or the 988 Suicide & Crisis Lifeline). We are not responsible for the content or privacy practices of those sites. This policy applies only to elohealing.com.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide a more prominent notice. Your continued use of the Site after changes take effect means you accept the updated policy.
